Frequently Asked Questions

Certified translations

What is a certified translation?

A certified translation is one which requires a special authentication to be legally binding before a court or official institutions/authorities. A certified translation confirms that the document was translated in full and correctly. The document is then legally certified by a notary with a signature and a stamp. If you need advice on any aspect of this topic, please do not hesitate to contact us.

Are there different certifications for translations?

Yes. A distinction is made between state or official and notarial certifications for translations.

Is VocaZone’s certification recognised by the authorities?

Yes. VocaZone knows a thing or two about certifying translations and can reliably offer this as a service. If you have any questions about certified translations, please contact our customer support.

What is an apostille and when is it needed?

An apostille simplifies legal transactions between the Hague Convention member states. 91 countries are currently members of this convention, for example Switzerland, Germany, the US, South Africa, Mexico, and Australia. Hence, if you need a certified translation for a foreign authority, VocaZone can issue it with an apostille for you. The best course of action is to ask the respective country’s authorities whether an apostille is required.

File formats

Can text in images also be translated?

Provided the photo file is open, it should be possible for us to translate the text in the image. If this is not the case, VocaZone can provide the translation in a Word document.

Which file formats can VocaZone work with?

It is easiest for our translators to work with the following formats: Word, PowerPoint, Excel, XLIFF (XML), IDML, RTF and HTML. A PDF can also be edited, but only by converting the original. It should be noted that the original formatting may change.

General questions

How is a translation's deadline calculated?

Similar to the price calculation, several factors are included when determining the deadline. For this, we check the number of words and language combination as well as the translation service. A certified translation, for example, takes a little longer than a conventional translation with the same number of words, as it still has to be certified by a notary. Please feel free to ask us for a quote, in which we guarantee to inform you of the deadline.

How long does it take VocaZone to complete translations?

How long the translation work takes depends on several factors. This includes the translation service (specialist translation, certified translation, proofreading or editing), scope and language combination. To give you a precise indication, VocaZone analyses the texts and specifies a deadline in the quote. If you have a preferred deadline, please let us know in your enquiry.

Why is the original word count different to that of the translation?

A different word count is easy to explain because each language has unique characteristics. For example, the complexity, expressions, and grammar vary in different languages, resulting in different text lengths.

What is a glossary, and does it have to be included for a translation job?

If you have a glossary that includes many of the words in your translation job, you are welcome to send it to us. A glossary allows us to take the corporate language and style specifications into account and apply them in the translation process.

Languages and translators

What is meant by “source language” and “target language”?

The language of the original document is the source language. The requested translation language is the target language.

Who is a native speaker?

Native speakers are people who speak one or more languages which they have not learned but have grown up with. VocaZone works exclusively with translators who are native speakers of the target language.

What costs should I expect for a translation from VocaZone?

Unfortunately, this question cannot be answered in a general way, as the price calculation depends on various individual factors. However, the price is calculated from the following factors: number of words, language combination, deadline, and translation service (e.g., certified translation or specialist translation).

Why can’t the price for the translation be calculated on the website?

The translation price can only be determined once the document has been analysed. This is because VocaZone produces high-quality translations, and these depend on factors that are unique to each project. For this, we look at the number of words, language combination, deadline, and translation service (e.g., certified translation or specialist translation).

VocaZone offers specialised translations, certified translations, document translations as well as proofreading and editing services. Find out more about our services here.

What is proofreading?

Proofreading ensures that a text’s grammar, spelling, and punctuation are correct.

What is editing?

Editing takes a closer look at a text’s logic and coherence as well as style and content. Yes, VocaZone specialises in website translations. There are various ways in which you can hand over the website texts to us for translation. The easiest way is to send us the web texts in a Word or Excel document. You can also send us your website texts in an export file (for example .csv, xsl, .xml, .po and .txt) which we can translate directly into, and which can be easily implemented on the website. This method is highly recommended for websites with a lot of product information. We can also translate your texts from your content management or editorial system, on request.
